Congratulations on choosing CourseSales.com as your preferred student management system.

First we need to import your course and student data. We do this by using your AVEMTISS files. We encourage you to validate your AVETMISS files first by using NCVER’s AVS software. The beauty of using the AVETMISS files is that these can be validated, and therefore be relatively clean. Without clean data we can’t validate the exports so be sure to make the data as clean as possible.

Once we have imported the data we can start configuring the system to meet your functional requirements.

Now that you have your data imported and the basic configuration completed you need to do the following:

Review the emails and update them to reflect the way you wish to do business. When tailoring your emails consider the following:

Venues

If you have specific information you wish to provide for your venues, first see if there is a field that will suit your needs on the venue form. If not there are two related records you could store further information; the location or the venue description. Examples are:

  • Room directions ie “First door on your left from the lift on the third floor.” - put this on the ‘Room’ field and include in emails using the short code: [Venues:VenueRoom]

  • Wheelchair access to a particular venue and a mention about airconditioning being very strong and cold. - put this on a Venue Description content, and link that content to the venue, ie use the short code [ContentVenue:ContentShort]

Course details

There are many ways to include course information in emails - the basic information like start date, course category and description should already be included on the registration email. However here are some other items that you might also want to include:

Job roles that the course could assist in a student obtaining or it might benefit, adding an additional field to the course category would enable the creation of a list, or summary description of roles. This will therefore be the same content for all course dates.

Trainer details

If you wish to include contact details about the trainer there are role-specific fields that you can get from the short code picker when editing emails or PDFs. Here are some examples of fields you might like to include in emails:

  • Trainer name use existing name on login details ie Fred Johnston include [Logins:15417:DisplayNameGiven] [Logins:15417:LoginDisplayNameSurname]

  • Trainer mobile phone number, use existing Mobile field on the login, ie short code [Logins:15417:LoginMobile]

  • Trainer profile, re-purpose the address field by including a profile of the trainer eg using short code [Logins:15417:LoginAddress]

Process

  1. Import 2018 data

  2. Rename venues to more obvious names (instead of the imported names)

  3. Tweak Emails

  4. Ensure your 2018 courses are correctly set up

  5. Create additional course masters to reflect what student’s register on

  6. Add co-providers/Customer Contacts

  7. Work through the form to make some fields mandatory

  8. Add course dates

  9. Demonstrate the ‘Registration List’ that can be used as a sign-in sheet
